Job overview

We are currently seeking a suitably experienced Admin & HR Officer to join our team. This is a full-time (part-time by request) role. The Admin & HR Officer’s profile is defined by integrity, clear and open communication, high standards, and an understanding of the needs and interests of students, parents, staff and indeed all stakeholders. As a core administration post, part of the Admin & HR Officer’s remit is to deal with sensitive information on students and staff and the need for absolute confidentiality is paramount.  

JOB DESCRIPTION

The Admin and HR Officer will support the administration dimension of the school, working at the interface between management, staff, parents and students. They will support functions below, as appropriate. While this list is not exhaustive, the role will include:

Human Resources

Maintenance of HR database and filing systems

Single Central Record

Staff Handbook and policies

Recruitment process and HR-related documentation

Appraisal and observation information/documentation, and Continued Professional Development for staff

Appointments, Calendars

School calendar

School term dates

School events organisation (e.g. Speech Day, Activities Week, Christmas Carol Service)

Meeting minutes and action trackers

Students

Updating student records

Updating Engage Database (School MIS)

Student lists

Parents

Parent handbook

The sending and collating of school reports

Collating, recording and distributing examination results, in liaison with the Assistant Head

Correspondence and organisation relating to school-based events

General Office Administration

Deputy Exams Officer

Policy updates

Member of the inspection compliance group

Facilities Management administration

SLT support

Quality control for external communications and published documentation

Reception cover as required

 Admissions

Admissions event support

 Any other duties as reasonably requested by the Headmaster.

 

PROFESSIONAL DEVELOPMENT

The Admin & HR Officer will:

  • receive in-house training;
  •  report both formally and informally to the Headmaster, as required;
  •  participate in staff professional reviews and target-setting relating to renewal of post.


PERSON SPECIFICATION

The post-holder will fulfil the following criteria:

  • able to relate with genuine interest to children and adults;
  • the ability to work flexibly within an administration team in a constantly changing environment;
  • able to convey a sense of enthusiasm for the school;
  • able to summarise the school’s unique selling points (USP’s) clearly and simply;
  • smart and professional in dress and appearance;
  • a good administrative profile – well-organised, efficient, IT literate;
  • a good interpersonal profile – a track record of interacting positively with colleagues, whether local or international;
  • a profile which is comfortable dealing with confidential issues
  • higher-order writing and presentation skills, and a convincing interpersonal profile;
  • drive, energy, commitment and stamina, able to work intensively;
  • a person of integrity, able to work independently within delegated authority;
  • able to work with humour and optimism in an intensive work environment.
