We are seeking to appoint an experienced Office Manager to lead and oversee the administration service and operational tasks in the office ensuring compliance and delivery to an excellent standard.

This role requires absolute confidentiality and the use of diplomacy and sensitivity at all times. You must be an excellent communicator and have exceptional administrative and organisational skills. Previous experience of working within a school environment would be an advantage and a genuine interest in working amongst young people is essential. Flexibility is crucial to meet the demands of a busy school as is the ability to build effective relationships with staff, governors and the whole school community.

Key Responsibilities include:

  • To ensure that all administrative arrangements for the school run effectively through the line management system - including reception, first aid, resources, HR Admin, and the administrative team.
  • In conjunction with the School Business Manager to be responsible for the recruitment process including Recruitment How to Checklist, arranging interviews, drafting Top sheets, sending reference requests, ensuring all relevant paperwork is in place and compliant.
  • Maintain accurate HR records and share information with colleagues or refer on as appropriate.
  • To be responsible for probation paperwork being completed in a timely manner and return t School Business Manager for quality assurance.
  • To be responsible for management of absence paperwork
  • To maintain the Single Central Register and ensure compliance with DBS checks
  • To be responsible for ensuring the reception is managed at all times
  • To be responsible for the School Workforce Census making sure that all staff information is correct in Arbor
  • Line management of the administrative team including probation meetings, management of absence leave and performance management review meetings
  • Ensure that all new staff are inducted, trained and informed of the school's ethos, values, safeguarding and trust/ school procedures.
  • Coordinating new staff packs including keys, ID passes etc. as part of their induction
  • To prioritise and delegate incoming work and ensure completion to a high standard in a timely manner.
  • Facilitate effective communication within the school community and ensure that all communications sent to parents are of a high standard and GDPR compliant.
  • Develop the administrative service and procedures to ensure that processes are effective
  • To develop an appropriate range of self-evaluation activities to ensure that administration staff regularly review their function and its effects on service provision
  • To be responsible for the administration department budget.
  • To lead the organisation of whole school events
  • To provide administrative support using Microsoft Word, Excel, PowerPoint, Forms, Teams and Outlook as well as other school packages including Arbor, Wispy, Fastback, Inventory and Biostore.
  • To support the first aid administrator with the admin for the Bromley Immunisation team to coordinate student vaccinations
  • To be involved in training/ INSET activities as necessary.
  • Working with the Data Manager to organise a new academic year process including liaising with the primary schools, importing CTF's and collecting and maintaining student records including Safeguarding and SEND files.
  • Collating new student (in-year-transfer) welcome packs and supporting the Data Manager with in-year transfers
  • Administration of Free School Meals and School uniform bursaries
  • Supporting the Senior Leadership Team with ad-hoc tasks
  • To maintain and update the Admin Staff Handbook
  • Fire Marshall responsible for Critical Incident kit
