This is a pivotal position within the dynamic and successful Foundation, Marketing and Admissions teams at Lancing College, you will be joining us at an exciting time, as we look forward to the arrival of a new Head Master in September 2025.

The role will demand close involvement in all aspects of event management across the three teams, with a particular focus on fundraising events for the Foundation Office. The role will have contact with parents, staff, OLs (alumni) and other supporters. The role will work closely with the Commercial events team in the effective planning of events across the College externally and internally.

This is a varied role that would suit an ambitious individual looking to develop their career in the education/charity/events sector, or for someone with transferable skills who would like to work in the third sector.

 

Working in Admissions, Marketing and Development

The Department is very much at the heart of Lancing activities; we are an energetic and forward-thinking team of talented individuals focused on contributing to the success of Lancing College. Across the team there is extensive engagement with both internal and external stakeholders.

Internally, key points of contact are the Head Master and Deputy Heads, Housemasters/Housemistresses, Heads of Department and Co-Curricular teams including Art, Drama, and Music. Whilst the department is a non-academic department, there are plentiful opportunities to interact with the student community, both current and incoming.

Externally, members of this team are frequently the first point of contact for visitors and guests, representing the College face to face, on the telephone or across social media. The wider Lancing community of Ols, current parents and parents of former pupils are extremely important to the College, and the Head Master’s Office team is a primary point of contact and information.

The Admissions, Marketing and Development team is managed by Mrs Diana Cree, who has been at the College since March 2016. Mrs Cree reports to the Head Master and sits on the Senior Executive Team for the College.

 

Job Description

Manage each event from initial planning to running the event on the day. Day to day duties will include:

Responsibilities

· Manage the event programme and plan the calendar across the three departments.

· The role will primarily focus on the operational delivery of digital, hybrid and face-to-face events, in the format of reunions, lectures, fundraising events, career conferences, admission events, College and Chapel events.

· Be responsible for all Event Management within the Foundation Office and groups that are included within the Lancing Society and, across the wider College Admissions and Marketing events.

· Manage the planning and budgeting of each event.

· Be the lead for all event catering, venues and support requirements.

· Keep aware of any Health and Safety issues requirements for running events. Ensure that appropriate Risk Assessment documents are completed.

· Be responsible for all email and mail communications regarding events and work with others to assist them.

· Manage registration/delegate/participants lists.

· Manage and lead the College’s online events presence and activity on Zoom, working with other members of the College community to assist and guide them.

· Create event collateral for Foundation and Engagement events.

· Act as a key liaison for event guests before and during events.

· Attending UK events as required and making sure everything runs smoothly on the day.

· Co-ordinating a working programme for each event.

· Provide support and regular input to the Foundation and Marketing teams for:

o Content for newsletters and Quad about recent/forthcoming events.

o Generation of ideas for new events.

· Provide administrative support for all the associations within the Lancing Society as required, including agendas, venue selection, negotiating prices, liaison with caterers, internally and externally.

· Use the Raiser’s Edge database to:

o Update individual records and changes.

o Input new data entry.

o Prepare reports and queries from the database as required.

o Record event attendance.

 

Person Specification

Qualifications:

• Educated to bachelor’s degree or equivalent.

• Training certificate in IT packages – desirable.

 

Essential Skills

· Excellent organisational skills.

· Experience of managing multiple projects simultaneously.

· High level of attention to detail.

· Exceptional interpersonal skills and the confidence and ability to communicate with stakeholders at all levels.

· A creative approach to problem-solving.

· Ability to work under pressure and meet tight deadlines.

· Discretion and confidentiality when processing sensitive information

· Proficient working within database software and Microsoft Office.

· Able to work within a small team environment but also work independently.

· A flexible and supportive team player, who is willing to roll up their sleeves and do whatever is required.

· Comfortable working in a fundraising environment.

· Excellent oral and written communication skills.

 

Desirable Skills:

· Some knowledge and empathy with the independent school sector or within premium hospitality.
