Fromefield Manor School are recruiting for a Receptionist to join their administration team. We are looking for an enthusiastic multitasker, who is highly skilled and proficient in the use of Microsoft office, excel & word. The successful candidate will be a solution focused member of the team and be able to prioritise competing deadlines in a professional manner.


Fromefield Manor School will be a new SEN school located in central Frome, Somerset and will be a special school for up to 30 pupils, aged 11-19 who have a diagnosis of autism with associated complex needs.

Main responsibilities:

  • Front of house duties: answering phone calls, picking up voicemails and passing messages to the relevant people; monitoring various inboxes and either responding to emails or forwarding them to the relevant people; manning the reception doors as required, ensuring pupils are accompanied before leaving the school. Supporting staff and SLT in contacting parents/carers throughout the school day as needed.
  • Visitors: greeting visitors, offering refreshments and making sure they sign in; checking and recording ID; issuing Visitor badges and making sure they are returned; ensuring staff escort visitors and contractors around the school.
  • Student attendance: Entering Student registration data and calling parents/carers when students are absent and ensuring information is passed to SLT.
  • Colleague attendance: Monitoring the absence line and recording notifications of staff absence.
  • Morning/Afternoon Briefings: minuting the Morning and Afternoon Briefings and distributing to all staff.
  • Parent Enquiries: receiving calls from prospective parents and circulating to the referrals coordinator.
  • Pupil transport: maintaining the database and contact details for Local Authority pupil transport.
  • School vehicles: monitoring the vehicle booking system and liaising with the Support Services Manager on vehicle maintenance issues. 
  • Purchase Orders: monitoring and ordering stationery in accordance with the school budget, in conjunction with the Senior Administrator, and ordering educational supplies for all departments.
  • Petty cash: administering petty cash requests and processing receipts, in conjunction with the Senior Administrator.
  • School supplies: monitoring and maintaining classroom and stationery resources and re-ordering as necessary.
  • Meetings: support with minuting student review meetings and other parent/school meetings as required by SLT, in conjunction with the Senior Administrator.
  • Team responsibilities: maintain a clean, tidy and organised general work environment including paperwork, workstations, blinds, plants etc. Attend training as required by the Headteacher and engage in cross-training of other administration tasks in order to cover in the event of staff absences or excessive workload.
  • Contributing ideas to improve processes so that the administration operates efficiently within itself and within the school. Undertaking such tasks as may be reasonable required by the Senior Leadership Team. Working as a team to ensure tasks such as answering phone calls, responding to staff requests, reception lunch cover and distributing messages are completed.
  • To contribute to parents’ evenings by covering the reception desk after school (overtime offered).
  • Saving and updating all school policies and procedures.
  • To contribute to the successful running of the school in whatever way the Headteacher or Senior Administrator requests.
