 Job title:             Attendance and Pastoral Administrator

 

Hours:                Full-time, 37 hours per week:   8.30am to 4.30pm Mon to Thurs, 8.30am to 4.00pm Fri

                                                                                        (with a 30-minute unpaid lunch break)

 

Term time plus 10 days during school holidays, primarily to be worked in the summer e.g. attendance at results days, though there will be some flexibility with the other days

 

There is also the option to work 4.30pm to 5.30pm each day as Library Supervisor for an additional allowance

 

Salary:               Grade 5 £23,808 - £24,747 per annum based on hours shown above (£28,711 - £29,843 FTE)

Overview

 

Reporting to the Deputy Head (Pastoral), the dedicated senior leader with overall responsibility for championing and improving attendance and pastoral care at KES, the Attendance and Pastoral Administrator will have the following objectives:

 

§ To support the promotion of pupils’ wellbeing, emotional and mental health, self-esteem and social inclusion; and their attendance at school

§ To build and maintain successful relationships with pupils, treat them consistently, with respect and consideration

§ To work as part of a wider pastoral team, and where appropriate with parents, to support pupils, whatever their needs, and to help pupils access appropriate support

 

Knowledge of CPOMS, SIMS and Microsoft Teams would be desirable, although training can be provided.

 


 

Main Responsibilities

 

Attendance:

 

§ To undertake the day-to-day tracking of attendance, in line with the School Policy including:

§ Reporting on attendance in year groups and communicate with Heads of Year any students of concern or at risk of becoming persistently absent

§ Engage with pupils who are persistently or severely absent, or school refusing, on their return to school to provide a link between home and school

§ Working with the reception team and form tutors to ensure that all attendance data is entered into the School’s Management Information System on a daily basis and that absence is recorded accurately

§ Monitoring the absence email system and ensuring all absences are recorded correctly, and approved or escalated to the Deputy Head Pastoral

§ To work with and support the Form Tutors, as necessary, regarding the accurate completion of their online registers. To ensure all registers are completed and no missing marks or unexplained absences remain

§  To liaise with Reception to obtain information about pupils arriving late, who will not be in school, and to follow up unexplained absences

§ To provide a report, as directed by the Deputy Head (Pastoral) to the relevant parties on any concerns regarding pupil absence and to ensure a half termly attendance report is sent to all Heads of Year and work with Heads of Year on follow-up

§ To work with the pastoral team on continuing to refine and develop attendance policy and procedure

 

Pastoral support:

 

§ Engagement with pupils to direct them towards appropriate support – whether safeguarding, behaviour, mentoring, wellbeing, mental health or pastoral care

§ To provide administrative support for the Pastoral and Safeguarding team meetings as appropriate

§ To assist the Deputy Head Pastoral with admin associated with external agencies, including social services, the NHS and the police, and ensure effective working together 

§ Assist in the administration of CPOMS

 

Administrative support:

 

§ Organisation of appointments for the counsellor and mental health nurse

§ Admin support for pastoral events, e.g. parents’ Forums, e-safety briefings, PSHE talks, and parents' evenings.

§ Home-school communication regarding pastoral care including sanctions

§ Schoolcomms mailings for SLT, Head of Lower School and Head of Middle School

§ Support the DSL and DSL team with safeguarding related administration, including ensuring all safeguarding information is up to date

§ Administration of TES Develop training courses to all staff, and to oversee First Aid training course administration

§ To liaise with the school finance team to order student prizes

 

Other duties:

 

§ To safeguard and promote the welfare of children for whom you have responsibility or come into contact with, to include adhering to all specified procedures

§ To encourage an active, positive partnership between pupils, families and school staff

§ Identify and attend relevant training, whether internal or external, to develop the role (for example, further Safeguarding or mental health training)

§ Be aware of, and abide by, the school’s policies and procedures, in particular those relating to child protection, health, safety and security, confidentiality and data protection and reporting all concerns to an appropriate person

§ To carry out such other duties, as may be reasonably required, to ensure the effectiveness of this aspect of the role
