Job overview

Responsible for coordinating the enrolment process for all apprentices studying at the College, we are looking for an Enrolment Coordinator to join our growing and ambitious Apprenticeship Team. You will be the main point of contact for apprenticeship enrolment for internal staff including curriculum colleagues, skills coaches and MIS support teams. We are looking for a confident, results-driven coordinator who will bring experience and enthusiasm to a growing team. You will co-ordinate the enrolment and sign up process for employers and apprentices from initial assessment through to onboarding, working with external and internal stakeholders to ensure apprentices are enrolled in a timely manner. This includes ensuring that apprentices are suitably qualified for the course they are registering for, that all apprenticeship funding is secured via the Digital Apprenticeship Service prior to the apprentice’s start. 

 

This role is suitable for someone who is well organised, process driven and can communicate easily with colleagues, apprentices, and external stakeholders at all levels. You will have administration experience and ideally you will have experience of apprenticeships and enrolment systems. 

 

This post will cover a wide variety of delivery areas and is crucial to the continuing success of the college’s apprenticeship cohort. The post holder will join a growing and dynamic team supporting a variety of functions within Apprenticeships and Commercial delivery committed to continuous improvement and business growth.

Key Responsibilities

 

 

  • Support the administrative processes within the apprenticeship delivery team. 
  • Coordinate the enrolment process for new apprentices.
  • Provide timely and accurate data relating to the enrolment process for apprenticeships.
  • Produce reports to inform the Apprenticeship Progress Boards and Curriculum Planning, identifying trends and themes in starts. 
  • Assist in the production of performance reports for the apprenticeship delivery function. 
  • To liaise with relevant business teams relating to Enrolment processes including the College’s Funding and Compliance Team.
  • Maintain an up-to-date knowledge of guidance and regulations including the apprenticeship funding rules.
  • Ensure data accuracy and integrity, correcting ILR rule violations and supporting the completion technical (PDSAT) funding reports.
  • Work with curriculum colleagues to ensure apprentices’ start dates and inductions are coordinated.
  • To support in preparation work for internal and external audit in relation to systems and data audits.
  • Provide general administrative cover for the wider team during holiday periods. 
  • Act as a liaison with external organisations in relation to the administration and compliance processes of the team taking ownership for issue resolution and escalation.
  • To liaise with relevant apprenticeship, business development, and curriculum colleagues taking ownership for issue resolution and escalation as appropriate.


Skills, Knowledge and Expertise

Essential: 


  • 3 years administration experience preferably within a further education/training environment 
  • Experience of data input, data correction and data extraction and preparation of performance purposes 
  • Excellent ICT skills including proficient use of Microsoft Office and Student Records Systems 
  • Well organised with experience of working in a customer-oriented environment. 
  • Excellent presentation and written communication skills 
  • Excellent time management and prioritisation skills 
  • Ability to manage conflicting priorities 
  • Ability to build and maintain strong rapport with wide range of stakeholders 
  • Commitment to taking ownership for resolving issues 
  • High level of interpersonal and communication skills 
  • Positive personality – self-motivated 
  • Clear personal commitment to meeting and surpassing customer expectations.


Desirable: 


  • Knowledge of education funding regulations and audit requirements 
  • Experience of the Digital Apprenticeship Service (DAS) 
  • Experience of working within an apprenticeships team Experience of working within an apprenticeships team 
  • Experience of co-ordinating and tracking administrative processes to ensure high levels of performance.

Opened in 1992 after being formed from a number of colleges in the city we now have 5 locations situated in the heart of Liverpool. Currently the college serves more than a third of all 16-18 year olds in Liverpool, and educates almost 12,000 learners a year. In 2018 the college achieved a pass rate of 99.6% beating the national average of 97.6% for a-level results. Within this year as well we had a 100% pass rate in modern languages.

However, the college itself is not just facts and figures. The ease in which to get here helps quite a lot to. Be it driving, buses, trains or even a ferry you are never short of options. 

Being that working/living in Liverpool does offer a wide range of experiences to have. Historical buildings like the Bombed out church, Royal court theatre house or even a hidden gem like the Bluecoat School lane which boasts being the oldest building in Liverpool. The Beatles museum is a popular place to explore the band and possible find bits out about them you might not have known. Or if just unwinding and relaxing there are multiple pubs/bars, restaurants, and comedy nights to enjoy.
