WHAT DOES THIS JOB INVOLVE?
We are seeking an enthusiastic and highly organized Programme Assistant to provide comprehensive administrative support to our summer school programme. As the Programme Assistant, you will play a crucial role in ensuring the smooth daily operation of our programme, working closely with the Programme Director, Head Counselors, and other staff members. Your ability to manage a diverse range of administrative tasks, maintain effective communication channels, and handle financial matters will be essential to your success in this role.
KEY RESPONSIBILITIES:
- Provide administrative support to the Programme Director and Head Counselors.
- Serve as a liaison between Head Office and the Programme Office, maintaining contact with the Summer School Coordinator.
- Proactively plan ahead to ensure all necessary bookings, resources, and preparations are in place for upcoming events and activities.
- Act as a point of contact with staff, external suppliers, and the university, addressing inquiries and resolving issues related to room bookings, IT problems, etc.
- Manage student valuables (passports, plane tickets, etc.), ensuring their secure storage and timely return.
- Maintain and provide up-to-date information on class allocations to Head Counselors.
- Handle and record expenses and petty cash, including student pocket money.
- Perform general administrative tasks in the office and around town.
- Assist in the production of the ISSOS Times magazine, collecting articles and photos from Counselors and teaching staff.
ATTRIBUTES AND SKILLS:
- Excellent organisational and time management skills with the ability to prioritise tasks effectively.
- Strong attention to detail and accuracy in all aspects of work.
- Effective communication and interpersonal skills, both written and verbal.
- Ability to work independently and as part of a team.
- Proficient in Microsoft Office Suite and comfortable using various computer programs.
- Ability to handle confidential information with discretion.
- Flexible and adaptable to changing priorities and deadlines.
- A positive and proactive attitude with a willingness to assist others.
DATES AND RENUMERATION:
- Cambridge: 4th July - 31st July (+ dates prior to the start of the programme for Senior Management Training)
- Bed and board provided on campus
- £2500 GBP for the contract
- Full travel to/from campus reimbursed
