Roehampton Gate School are recruiting for a Receptionist to join a busy and professional administration team. We are looking for enthusiastic multitasker, who is highly skilled and proficient in the use of Microsoft office, excel & word. The successful candidate who be a solution focused member of the team and be able to prioritise competing deadlines in a professional manner.

Roehampton Gate School (RGS) is a school for young people aged 9 -19 with mild to moderate autistic spectrum disorders, Asperger’s Syndrome and associated learning difficulties. Located in Roehampton, SW London, we aim to deliver the highest level of education and care according to individual needs in a safe, positive and structured environment.


Main responsibilities:

  • Front of house duties: answering phone calls, picking up internal/external voicemails and passing messages to the relevant people; monitoring RGS inbox and either responding to emails or forwarding them to the relevant people; manning the school gates and reception doors as required, ensuring pupils are accompanied before leaving the school
  • Visitors: greeting visitors, offering tea/coffee/water and making sure they sign the Visitor's book; checking and recording ID; issuing Visitor badges and making sure they are returned; ensuring staff escort visitors and the Site Management Lead escorts contractors around the school; informing unescorted visitors, such as taxi drivers, that they are not permitted to use the bathrooms
  • Student attendance: calling parents/careers when students are absent and ensuring information is passed to Exec/SLT
  • Agency staff: ensuring agency staff complete the sign-in sheet
  • Morning/Afternoon Briefings: minuting the Morning and Afternoon Briefings; placing a hardcopy in the Briefing folder.
  • Supporting Exec/SLT in calling/emailing parents/careers throughout the school day as needed
  • Parent Enquiries: receiving calls from prospective parents; completing enquiry response forms; requesting key documentation from parents; passing the forms on the relevant staff
  • Purchase Orders: sole responsibility of monitoring and ordering stationery in accordance with the school budget: ordering educational supplies for all departments
  • Team responsibilities: maintain a clean, tidy and organised general work environment including paperwork, workstations, blinds, plants etc. Attend training as required by RGS and engage in cross-training of other administration tasks in order to cover in the event of staff absences or excessive workload.
  • Contributing ideas to improve processes so that the administration operates efficiently within itself and within the school. Undertaking such tasks as may be reasonable required by the Senior Leadership Team such as minuting a meeting. Working as a team to ensure tasks such as answering phone calls, responding to staff requests, reception lunch cover and distributing mail in/out are shared equal
  • To contribute to parents’ evenings by cover the desk later. (Overtime offered)
  • Saving all policies and procedures on hard drive as well as printing a paper copy and filing away

About Roehampton Gate School

Roehampton Gate School is a purpose-built day school for young people with autistic spectrum disorders, in particular Asperger's Syndrome and associated learning difficulties. It is situated next to the Hospital Roehampton. The school opened in April 2010.

The spacious and modern building has been specifically designed to accommodate up to 40 young people with autistic spectrum disorders and Asperger's Syndrome.

The classrooms are set up for specialist subjects including information technology, art, food technology, science and music, together with exclusive sensory and therapy rooms/suites or studios.

Roehampton Gate School is also uniquely placed to benefit from the extensive therapy and specialist mental health services provided at the Hospital Roehampton. Staff and students will also work closely with the child and adolescent mental health services (CAMHS) and experienced educational psychologists
