We are looking for an Administration Assistant. This is an exciting opportunity to join Orchard Park High School and become an integral member of the Administration team.

Main Responsibilities:

Trips

Responsibility for the processing of all student payments including trips, catering, books, charity donations, uniform and the maintenance of an accurate student account database (Bromcom Payments) 

  • Process all income received via the school’s online payment system
  • Organise all payments due relating to student accounts
  • Liaise with trip organisers to ensure that payments are received on time
  • Liaise with trip companies as needed
  • Ensure that pupil premium discounts are applied and transferred where necessary
  • Deal with enquiries and queries from parents/carers 
  • Manage funds collected for charity 

 

Order and Supply

  • Provide support to budget holders with orders and budgets, approving orders and ensure that the ordering process is managed in accordance with the finance policy 
  • Obtain best prices for purchases
  • On direction of the site team, (including the Regional Site Manager) place orders and seek good prices for tasks and purchases 
  • Track receipt of ordered items
  • Support all staff booking CPD (including travel and accommodation) 
  • Advise the Headteacher on high-level cost orders
  • Manage the school credit card 

School Inventory

  • Send pdf copies of invoices for additions to the school inventory in excess of £2000 to the Trust for inclusion into the Fixed Asset Register 

Income

  • Take responsibility for seeking donations, discounts and opportunities which benefit our pupils

General

  • Work collaboratively with GLT Shared Finance Team to responding to queries relating to income and expenditure
  • Reception cover as needed
  • Support the Office Manager with the admissions process
  • To undertake any other duties commensurate with the post as may be required by the finance team at the Trust or the Headteacher
  • To be present on duties as needed.
