Job Title: School Business Manager
Reports to: Headteacher
Purpose of the job: To ensure the efficient and effective running of Griffin House finance and compliance. Supporting the wider administrative and operational functions of the school in conjunction with the Head’s PA, School Secretary and Head of Admissions.
Hours of work: 40 hours per week (0900 – 1700) all year round.
Salary - £35,000 pa
25 days holiday per annum plus English Public and Bank Holidays.
Main Responsibilities
Finance
· Ensure that billing information is correctly entered into iSAMS
· Raise invoices to parents including termly tuition fees, clubs, trips etc
· Maintain the list of pupils eligible for Early Years Funding (EYF) and enter the data onto the local authority portal to enable EYF claims to be made
· Update the Sage sales ledger regularly for receipts from parents and new invoices raised
· Perform first line credit control for unpaid invoices, including regularly sending out statements and contacting parents by email or telephone
· Check, enter and attach supplier invoices into Sage, with the correct VAT allocation, also ensure any appropriate invoices are approved as required
· Make periodic supplier invoice payment runs
· Daily entry of bank transactions into Sage and regular bank reconciliation
· Prepare and submit the monthly payroll Excel for payroll processing
· Sensitively manage parental requests for assistance with the Head and central finance
· Monitor any payment plans with parents and any parents utilising SFP
· Receive and process staff expense claims
· Enter into Sage monthly credit card spend and obtain supporting receipts
· Work with the School Secretaries to ensure orders and controlled and appropriate levels of stock is maintained
· Point of contact with various suppliers including the catering and cleaning providers.
· Work closely with central staff colleagues
Admissions
· Provide financial and compliance support to the Head of Admissions and the Headteacher in all aspects of the admissions process.
Compliance
· In conjunction with the Headteacher manage the Single Central Record (SCR)
· Ensure all pre-employment checks have been carried out
· Ensure that all staff records are managed and maintained and the school database iSAMS is accurate
· Be a member of the school health and safety committee
· Liaise with the school site manager and other members of the health and safety committee regarding health and safety in the school
· In conjunction with the Headteacher, complete required census data
· In conjunction with the Headteacher, ensure that the Site Manager is maintaining the school compliance records and booking engineer visits and compliance checks throughout the year, such as water testing, fire safety inspections, minibus safety checks, etc.
General Responsibilities
· To attend staff training days and other functions, which may fall outside normal school hours
· To ensure that you are familiar with all school policies and the contents of the staff handbook
· To ensure the safety and well-being of children and young people at the school by adhering to and complying with the school’s Safeguarding (including Child Protection) policy and procedures at all times
· To display correct staff identification at all times whilst on site
· To adhere at all times to Health and Safety legislation, and all departmental policies and procedures, to ensure their own safety and that of colleagues, pupils and visitors
· To carry out any other reasonable duties as requested by the Head
· To constantly appraise your professional performance, participating in training courses and keeping informed of current legislations and best practice
