Reporting to: Operation Manager   

Location:                            Ark Priory Primary Academy 

Contract:                            Permanent 

Working Pattern: Term Time + 2 weeks 

Salary: Ark Support Scale 4: Pay Points 3 - 7: £26,853- £28,553 (pro rata) 


The Role 

As the Receptionist, you will be the welcoming face of the school and will provide a positive first impression to all visitors, students and staff, and provide general administrative support. 


Key Responsibilities 

  • Act as the school’s main receptionist, providing a first point of contact for all incoming communications to ensure that they are answered in a timely and professional manner, presenting a positive image of the academy 
  • Interacting with parents, carers, colleagues and visitors to the school, at all levels of seniority, with confidence, tact and professionalism 
  • Ensure safeguarding procedures are followed for all visitors, including maintaining single central record and appropriately handling incoming calls and enquiries 
  • Ensure that all communications are correctly logged and routed to their intended recipients, or an appropriate member of staff, to ensure a quick and effective communication system 
  • Deal effectively with school post, receive deliveries and maintain electronic mail systems ensuring that information is passed to relevant staff in a timely manner 
  • Ensure that queries are dealt with effectively, taking the initiative to identify and handle issues that arise on behalf of the leadership team and others 


Admissions & Pupil Data  

  • To assist the Operations Manager with the admissions processes across the academy, liaising with the Local Authority, teachers and parents/carers as required, including: 
  • Meeting and greeting prospective parents/carers and helping with queries regarding admissions to the Academy 
  • Managing the collection of data for the new intake of pupils each year 
  • To assist with maintenance of full and accurate pupil records including individual folders. 
  • To assist with all areas of data input including; attendance, reporting, census returns, admissions/leavers, exclusions, pupil details, staff details, maintaining assessment systems and recording pupils’ special needs ensuring that records are up to date. 
  • To provide reports, as requested, for the Headteacher, SLT, the Department for Education, ARK Central and other staff, ensuring the provision of accurate and appropriate information to relevant parties. 

 


Finances & Resources 

  • To undertake administrative duties relating to the academy’s online payment system (IPAY) ensuring that records are up to date. 
  • To provide general clerical, administrative and financial support e.g. photocopying, filing, matching purchase orders to invoices and delivery notes, emailing, completion of standard forms, respond to routine correspondence and emails, letters to parents and certificates.  
  • To take ownership for various projects to meet the needs of the academy in order to achieve project goals and assist the effectiveness of the academy Office.  
  • To monitor and maintain stock supplies and order resources where necessary. 

 

Other 

  • Actively promote the safety and welfare of our children and young people  
  • Ensure compliance with Ark’s data protection rules and procedures 
  • Liaise with colleagues and external contacts at all levels of seniority with confidence, tact and diplomacy 
  • Work with Ark Central and other academies in the Ark network, to establish good practice throughout the network, offering support where required

About Ark Priory Primary Academy

Ark Priory admitted its first two reception and nursery classes (90 pupils) in September 2013. It is a mixed, non-denominational; two form entry primary school for local children in East Acton. It offers an inclusive and inspiring education in a community school with the highest possible aspirations for its pupils. We place great emphasis of teaching our pupils social norms and nurturing a sense of community belonging.  A clearly defined set of values ‘Explore, Endeavour and Excel’ are shared by all stakeholders, permeates all aspects of our work. The school is part of Ark, an educational charity with a network of academies in Birmingham, Hastings, London and Portsmouth. The academy opened in September 2013 with ambitious plans and targets. These were fully met. We have strong links with the wider community and we encourage our students to ensure they become part of the community by participating in various local fairs and events. Our school also regularly welcomes external visitors including as a dance group workshop, a scientist and an explorer! Parents are also a big part of our community and regularly volunteer at the school and organise a variety of fundraising events from bake sales to raffles to bingo nights.

We understand the importance of investing in our staff and providing them with the necessary training and development to achieve our shared goals. In addition to frequent in-school training, regular external training is available to everyone. Staff are encouraged to bring back a "learning take-away", in order to continue this training in school and pass any knowledge or best practices onto the rest of the team. Our training doesn’t stop once you reach a certain level or learn a certain skill – we’ll support you throughout your whole career, from starting out as a trainee to running your own school.
