ACS International Schools are recruiting a Receptionist to join the team at ACS Egham.

Situated on 20 acres of glorious English countryside adjoining the Royal Savill Garden, and only 25 miles from central London, ACS Egham is an IB World School of more than 500 students (ages 4 to 18), and 160 expert faculty and staff from over 50 countries.

Key responsibilities

·      Provides a friendly, welcoming, helpful, and efficient manner on the telephone, answering all calls promptly.

·      Acts as an ambassador to the ACS Egham community by providing professional reception cover for parent, student, and staff enquiries.

·      Checks that event planners have been submitted in a timely manner.

·      Updates the school calendar.

·      Maintains the reception area ensuring an organised, safe, tidy and professional image is maintained at all times, ensuring all relevant information is available at all times.

·      Regularly updates and distributes the school telephone list and updates the telephone system with any changes in a timely manner.

·      Uses all school databases and ensures accurate and timely inputting of details onto the databases.

·      Sorts and distributes all incoming and outgoing mail for collection by internal or external couriers.

·      Receives and distributes messages for all faculty and staff.

·      Archive / shreds electronic and paper documents in line with Data Protection guidelines.

·      Manages the office safe to ensure that money going in and out of the safe are handled in line with cash handling procedure.

·      Assists the School Secretary / PA to Head of School in preparing whole school documents.

·      Acts as cover for the School Secretary during periods of absence (sickness, holidays etc.) as required.

·      Assists divisional school secretaries with administrative tasks throughout the year.

·      Sells / distributes tickets / information for school or community events as requested (e.g. drama tickets, charities etc.)

·      Provides ad hoc assistance to PSO / Parents / Music Teachers (copying / laminating etc.) as requested.

·      Oversees photocopiers in the Student Centre faculty room.

·      Orders laminating rolls for large laminator, maintains and loads laminator.

·      Oversees the stationary supplies and ensures all supplies are available and accounted for.

·      Assists with ad hoc duties as required, which may include assisting the PA to the Head of School.

·      Acts as back up for School Nurse when absent and undertakes First Aid training in a timely manner.

·      Actively assists with Teacher Pre/Post Planning weeks.  

 Knowledge and Experience

  • Competent in the use of Microsoft Office packages.
  • Proficient in the use of computers and databases.
  • Previous experience as a receptionist / secretary / administrator in a busy, customer focused environment.
  • Demonstrable customer service experience.

 

 Skills and Aptitudes

  • A tolerant, flexible approach, smart appearance with an excellent telephone manner.
  • Able to work under pressure with sensitivity to a multi-cultural environment is essential.
  • Able to work autonomously at times on repetitive tasks but also as part of a team.
  • Must be organised and able to multitask.
  • Good level of interpersonal and communication skills, with a good standard of written and spoken English.
  • Excellent organisational and time management skills, with the ability to prioritise tasks appropriately.
  • Commitment to delivering excellent level of professional customer service.
  • Ability to remain calm and deal with challenging callers or visitors in an appropriate manner.
  • High level of attention to detail and accuracy of work Ability to work effectively as part of a team.
  • Ability to be resourceful and proactive, in particular where unexpected issues arise.
  • Ability to work effectively with people across a wide range of levels and responsibilities.
  • Ability to maintain confidentiality, having tact and diplomacy where necessary.

 

Start date:  As soon as possible.

Working hours: Monday- Friday 0800: 16:00, 40 weeks per year.
