THE SCHOOL

St Helen’s is an academically selective independent girls’ day school of more than 1200 students aged 3-18, set in beautiful green space in Northwood, Middlesex. 


THE POST


Hours:

Term time (35 weeks p.a). Thursday & Friday. 8am-5.30pm

School holidays: 12 days per holiday year which will be worked Mon-Fri in line with the above hours.

Reporting to: Front Office Manager

Salary: £11,186.04 – £11,749.15 p.a (Actual) based on a full-time equivalent of £28,665 - £30,098.25 p.a 

MAIN RESPONSIBILITIES

  • Receive all visitors to the school.
  • Administer the School’s security badge, fob and biometric system for pupils and staff and contractors.
  • Receive incoming calls to the school (filtering calls and passing messages to staff and pupils)
  • Ensure the public reception areas are always presented to the highest standards.
  • Manage the distribution and receipt of outgoing/incoming internal/external mail and enquires
  • General administrative tasks such as typing, data input, photocopying, laminating, binding and dealing with student queries in support of the School Office
  • Check pupil IT access reports and report concerns to Designated Safeguarding Lead
  • Distribute student lockers each academic year.
  • Administer pupil attendance at extra-curricular clubs liaising with club organiser.
  • Liaise with SLT member on duty to support uncollected pupils.
  • Any other appropriate tasks to support the provision of an effective and efficient service to the school.
  • Liaise with Deputy Heads of Senior & Prep regarding supply staff.
  • Support the Office Manager in arranging internal teaching cover and lesson room changes


Other Duties:

  • Follow responsibilities as defined in the Health & Safety Policy and be an active member of the School’s Fire Team
  • Promote and safeguard the welfare of children and young people and ensure compliance with the School’s Child Protection & Safeguarding Policy
  • Support and promote the school’s ethos, aims and objectives.


THE PERSON

It is essential for the successful candidate to have the following qualifications,

experience, and personal attributes:

  • Good oral and written English
  • Understand the aims and ethos of the school.
  • Good working knowledge of Microsoft 365 applications including Word, Outlook and Excel
  • Awareness of safeguarding (child protection) and the welfare of children
  • Experience of Reception work and administration
  • Experience of administrative work in a busy office and setting up systems
  • Experience dealing with a wide range of stakeholders both internally and external
  • Highly personable with the ability to create immediate rapport with young people and adults.
  • Ability to remain calm under pressure
  • Ability to maintain office administrative systems.
  • Ability to work as part of a team and on own initiative
  • Able to find solutions to problems.
  • Excellent interpersonal skills and ability to engage with a wide variety of stakeholders.

  • Knowledge of ISAMs database or a School database systems
  • Experience of using databases
  • Experience of School administrative work
