About the role

The SEN Administrator will be expected to work under the direction of the SENDCO and assist in running the administrative & Operational needs of the SEN Department. To take directions and work alongside the SENCO to ensure the smooth running of Newman house. The post requires someone who is exceptionally well organised and efficient, is used to dealing with a diverse workload, and has excellent communications skills. 


Roles and Responsibilities

  • Manage the administration of the EHCP review process including scheduling of annual reviews, gathering of reports from school staff and completion of annual reviews in line with statutory timeframes. 
  • Arrange interim and emergency annual reviews as required.  
  • Co-ordinate and communicate the EHCP and annual review process to stakeholders and staff.  
  • Produce and communicate the annual review schedule to all staff.  
  • Prioritise caseload and produce invitations for annual reviews, prepare annual review paperwork, including amendments to EHCP reports, in line with school and statutory timeframes.  
  • Collate, proof read and send out accurate reports both before and after the annual review meetings in line with statutory timeframes and the SEN Code of Practice.  
  • Attend review meetings to take minutes and capture actions agreed at the meeting.
  • Monitor applications for increased pupil/student funding, liaising with the Local Authority as appropriate.
  • Ensure that actions agreed at EHCP review meetings are followed up as part of the process including requests for additional funding and any proposed transition.  
  • Communicate effectively, both verbally and in writing, to stakeholders, adapting communication as required.  
  • Use the school’s information systems to input and retrieve information required to support the EHCP review process.  
  • Gather and securely store the collection of confidential and non-confidential reports from external agencies that are required to complete the EHCP review process in both paper and electronic format.  
  • Under the direction of the SENDCo, implement changes and updates to the EHCP review process.  
  • Provide administrative support to the SENDCo in responding to tribunal and appeal hearings.  
  • Provide administrative support to the SENDCo around the development of projects in the SEN area.  
  • Provide support and advice to staff regarding the annual review and associated processes.  
  • Establish good working relationships and communication with agencies, professionals and families by acting as the primary contact for SEND queries.  
  • Archive SEN paperwork in line with MAT policy.
  • Work under the direction of the SENDCo to deliver a comprehensive range of administrative tasks to a high standard. 


About you

You must be committed to being a team member who will want to ensure that all SEN students, at all academic levels, receive an outstanding experience in their academic support. 

  • Have a good working knowledge of the school’s management information systems, as well as other administrative systems.
  • The ability to support and overview the work of Learning Support Assistants working with SEND students
  • Excellent communication skills and an ability to work within a team.
  • Excellent management and organisational skills and experience of leading/managing staff
  • The necessary communication skills enabling liaising with a variety of external agencies including parents.
  • Knowledge of the new SEND Code of Practice
  • The ability to pay attention to detail and put in place data driven interventions

Grey Court is a popular, thriving and well established oversubscribed secondary school, situated in Ham, Richmond having 1,600 students on record.

Grey Court School is a mixed secondary school serving pupils between the ages of 11-18. Furthermore our Grey Court sixth form provides an outstanding post 16 education which includes A levels and vocational qualifications at BTEC level 3. Our results are consistently amongst the best in state schools in London. Each year we help students secure places at the top universities in the UK, including Oxbridge and other Russell Group universities. We consistently outperform local and national schools in terms of our results, with nearly 50% of all GCSE grades awarded at 7-9 and 38% of all A Levels at A*/ A.

Teacher Training

Grey Court provides a comprehensive professional development programme for trainee, early career and established teachers. This is further enhanced through our membership of the Wandle Teaching School Hub; an alliance of schools in the London boroughs of Kingston, Merton, Richmond and Wandsworth, formed to provide ongoing development for teachers at every stage of their career.

Early Career Teachers

We work closely with the Institute of Education and the Wandle Teaching School Hub to provide a two year training programme for early career teachers (ECTs). This highly structured, in-house programme involves close mentoring, support and encouragement of new teachers, and exceeds the statutory standards of the DfE’s early career framework. Many of our ECTs go on to build successful careers at Grey Court.

Ongoing Teacher Training

We actively encourage staff to continue their professional development. This could be through courses provided by the Wandle Teaching School hub, through our in-house training and learning sessions, or through more formal routes such as the national professional qualifications.

Initial Teacher Training

As part of the Grey Court teaching alliance we co-ordinate placements for trainee teachers in schools across south west London and Surrey. Each year we work closely with universities and the Department for Education (DfE) to place post graduate (PGCE) and School Direct applicants either in our own, or in other local schools.
