We are seeking a highly organized and detail-oriented individual as an Academic Administrative Assistant to join the world’s leading boarding school, Institut auf dem Rosenberg. As an Academic Administrative Assistant, you will play a vital role in supporting the smooth operation of our academic department and providing administrative assistance to the Head of Academic Faculty and Academic Artisans. This is an exciting opportunity to contribute to the educational journey of students from diverse backgrounds and cultures.

Responsibilities

  • Provide administrative support to the academic department, including managing schedules, coordinating meetings, and maintaining accurate records.
  • Assist in the coordination and execution of academic events, such as workshops, conferences, and parent-teacher meetings.
  • Collaborate with faculty members to prepare course materials, including syllabi, handouts, and presentations.
  • Assist in the creation and maintenance of academic databases, student records, and grading systems.
  • Respond to inquiries from students, parents, and staff regarding academic matters, providing timely and accurate information.
  • Support the admissions process by assisting with application reviews, organizing interviews, and maintaining admission records.
  • Coordinate with other administrative staff to ensure efficient communication and workflow across departments.
  • Assist in the preparation and distribution of academic reports, progress reports, and transcripts.
  • Perform general office tasks, such as filing, copying, and organizing documents.
  • Coordinate purchasing of office and scholastic materials.

Requirements - ideal candidates will have

  • Bachelor's degree in a relevant field (Education, Administration, or similar).
  • Previous administrative experience in an academic or educational setting is highly preferred.
  • Strong organizational skills with the ability to prioritize tasks and manage multiple responsibilities simultaneously.
  • Experience organising events and projects. 
  • Excellent attention to detail and accuracy in maintaining records and documentation.
  • Strong IT Skills, proficiency in using office productivity software, such as Google Workspace or Microsoft Office Suite and high aptitude to learn new software.
  • impeccable English, strong interpersonal and communication skills, with the ability to work effectively with students, parents, faculty, and staff from diverse backgrounds.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Knowledge of international educational systems and procedures is an asset.
  • Readiness to thrive in a collaborative and entrepreneurial environment.
