Introduction

We are seeking a dedicated specialist EHCP Coordinator Assistant SENDCo to provide comprehensive support to students currently enrolled at MVA with Education, Health, and Care Plans (EHCPs). In this role, you’ll work closely with students, families, and local authorities to ensure that each student's needs are fully supported and that all EHCP requirements are effectively tracked and managed. This role requires meticulous organisation and attention to statutory deadlines to support the best outcomes for our students, including outside term time.

Overview

The EHCP Assistant SENDCo will serve as the main point of contact for current EHCP students, their families, and associated authorities, managing the end-to-end administration of EHCP requirements. This includes monitoring annual reviews, tracking EHCP outcomes, responding to consult requests, and ensuring accurate documentation. Additionally, the role involves regular data analysis and ongoing communication with families and external agencies to support students’ educational journeys.

Responsibilities

  • Act as the initial contact for current students with EHCPs, their families, and associated external authorities, responding to inquiries and managing expectations.
  • Assess information received from local authorities and agencies, recommending provisions the school can offer to meet individual student needs.
  • Manage and monitor EHCP interventions, outcomes, and annual review processes, tracking progress and ensuring compliance with statutory timeframes.
  • Complete formal responses to local authority consults, ensuring accuracy before obtaining necessary sign-off from the Principal
  • Maintain accurate records in the EHCP tracker and ensure the SEND inbox is regularly monitored and updated.
  • Assist in tracking and evaluating students’ progress against EHCP objectives, supporting the development of effective monitoring systems.
  • Coordinate with the Marketing team to gather positive experiences and testimonials from families post-enrolment.
  • Attend and/or provide supporting documentation for annual review meetings as needed, providing data and supporting documentation to ensure EHCPs reflect each student’s evolving needs.

Requirements

  • Experience managing complex EHCP casework, with a focus on ensuring positive outcomes for students with SEND.
  • In-depth knowledge of various special educational needs, disabilities, and their impact on learning and development.
  • Strong communication and interpersonal skills, with the ability to build and maintain open lines of communication with families, local authorities, and agencies.
  • Effective negotiation and advocacy skills to champion the needs of students with SEND.
  • Excellent organisational skills to manage EHCP cases and ensure compliance with all statutory requirements and deadlines.
  • Ability to work collaboratively with teachers, SENDCos, and other support staff to coordinate EHCP interventions.
  • Strong analytical and problem-solving skills to identify and address the specific needs of SEND students.
  • Capacity to address challenges and resolve conflicts that may arise in the EHCP process.
  • Strong attention to detail, with a commitment to accurate and thorough record-keeping.
  • Understanding of safeguarding, well-being, equality, and diversity issues, as well as pastoral care concerns.
  • Demonstrate empathy and understanding of the unique challenges faced by students with SEND and their families.

Main purpose 

The Assistant SENDCo, under the direction of the SENDCo, Principal and Vice Principal Pastoral, will:

  • Determine the strategic development of special educational needs (SEN) policy and provision in the school
  • Be responsible for the day-to-day operation of the SEN policy and coordination of specific provisions to support individual pupils with SEN or a disability.
  • Provide professional guidance to colleagues, working closely with staff, parents and other agencies.

Minerva’s Virtual Academy is underpinned by ‘four pillars’. These are: a virtual learning platform, live lessons, mentoring and community. As part of this offer, all pupils receive weekly one-to-one mentoring sessions and, through the virtual learning platform, can communicate with their mentors at any time. Community plays a key role at Minerva’s Virtual Academy. Pupils attend weekly assemblies and can participate in a wide range of after-school clubs. 

The curriculum at Minerva’s Virtual Academy is delivered through a ‘flipped learning’ model. This involves pupils undertaking interactive self-study on the virtual learning platform before attending live lessons. 

Alongside the taught curriculum, pupils participate in an extensive well-being programme. Designed to support pupils’ personal and academic growth, wellbeing sessions help pupils manage their own health, relationships, emotional intelligence and communication skills.
