Job overview
To learn how to provide administrative support to a team, and to apply the skills in a busy office environment whilst working towards a Level 3 in Business Administration. The post-holder will be trained to provide professional administrative support within examinations team and wider business support, including but not limited to the management of information systems, resources, on-line exam suite, and to develop a working knowledge of awarding bodies and their regulations to deliver a high quality, flexible and consistent service. The post-holder will learn to operate proactively and independently and to exercise a high degree of efficiency and attention to detail in dealing with multiple complex tasks.
The post-holder will frequently act as the first point of contact for the team, consistently acting as a positive ambassador for the College Group. The post-holder will be an enthusiastic and resourceful team-player with the ability to operate discreetly and develop a customer-focused approach.
Key Responsibilities
- Deliver a range of administrative and customer services which may include some or all of the following tasks:
- Administrative support through word processing and maintaining databases including Pro-solution, SharePoint and trackers.
- Management of the diary for examinations and associated tasks, from basic scheduling to co-ordinating logistics such as room and invigilator availability.
- Support Exams Officers with day-to-day administration tasks, such as data entry and logging certificates.
- Act as first point-of-contact for the examinations office, responding to queries within the College’s existing quality standards and procedures and maintaining a high level of customer service within the function.
- Act as a positive ambassador for the College Group, maintaining a professional and positive image within the organisation and to external stakeholders.
- Participating in cross-college activities such as enrolment, summer recruitment, exam invigilation etc as required.
- Comply with the College’s financial regulations and other standards for procurement/asset management.
- Ensure the accuracy and confidentiality of information held within the exams office and comply with data protection protocols and relevant policies as appropriate.
Skills, Knowledge and Expertise
Essential:
- Level 2 qualification, including Maths and English or relevant experience
- Good communication skills, oral and written
- Good organisational skills – pays attention to detail and follows through
- High level of discretion
- Strong interpersonal skills
- Experience of working with customers or as part of a team in a busy, fast-paced environment
- Ability to work independently to a high standard, taking accountability and ownership for mistakes and a commitment to self-reflection and learning
- Good communication, relationship management and influencing skills, works well as part of a team
- Ability to work to tight deadlines and multiple priorities
- Positive personality – calm, self-motivated and driven to achieve results through positive role-modelling and common sense practicality

- Must be committed to their own CPD
Desirable:
- Experience of working in a college business support or exam function
- Diary management experience

Opened in 1992 after being formed from a number of colleges in the city we now have 5 locations situated in the heart of Liverpool. Currently the college serves more than a third of all 16-18 year olds in Liverpool, and educates almost 12,000 learners a year. In 2018 the college achieved a pass rate of 99.6% beating the national average of 97.6% for a-level results. Within this year as well we had a 100% pass rate in modern languages.
However, the college itself is not just facts and figures. The mission statement of provide high quality skills and education by delivering opportunities for growth to all people and business of the Liverpool City region, shows inclusivity and a community understanding. The ease in which to get here helps quite a lot to. Be it driving, buses, trains or even a ferry you are never short of options.

Historical buildings like the Bombed out church, Royal court theatre house or even a hidden gem like the Bluecoat School lane which boasts being the oldest building in Liverpool. The Beatles museum is a popular place to explore the band and possible find bits out about them you might not have known.
