Duties and responsibilities:

  • Involves managing health and safety protocols, ensuring compliance with KHDA, Municipality and SIRA guidelines.
  • Overseeing safety equipment and security operations, and maintaining high standards for contractors.
  • Coordinating with school stakeholders, managing maintenance schedules, and monitoring utility consumption. Additionally, the role supports procurement and finance teams and ensures adherence to organisational values.

Professional responsibilities:

  • Develop, implement and manage Health and Safety, safeguarding related procedures, protocols, policies, and issues and ensure those protocols are in followed by the team and ensure the KHDA guidelines are implemented and followed by the team without fail.
  • Maintain and update the School Central Record for all third-party and service provider employees.
  • Verify and validate third-party employee documentation, including police clearance, passport, visa, and Emirates ID.
  • Coordinate access to school premises for third-party employees, ensuring all necessary approvals are obtained from the HR Manager.
  • Develop, manage, and ensure the life critical safety equipment’s contractors are maintain high level standard, auditing the documentations, validating their service level KPI’s, Civil Defence inspection, approval certificates and fire drills.
  • Manage the Security team and safety related operations deployment, protocols, policies, procedures as per the SIRA (security industry regulatory agency) guidelines and organisation
  • SOP’s and ensure all CCTV and access control system are in place and maintained as per the SOP’s.
  • Managing and ensure the hard services contractor meet our requirements, KPI’s on high standards by our TFM team and ensure their PPM, CM documentations (for HVAC, BMS, Pumps, CMMS system, MEP related equipment’s) are in up to date and ready for internal and external audit anytime and validating their performance as per the contractual terms.
  • Manage and ensure the soft services contracts, KPI’s, validating their service and performance are maintained in highest standard for the properties and all the chemicals are approved by Municipality
  • Manage and co-ordinate through the school/college stake holder, SLT’s to ensure that health, safety, and hygiene mechanisms are effective to provide a safe environment for students and 3rd party customers
  • The guidelines from government authorities with regards to health and safety are to be effectively communicated to schools and ensure the schools follow it without fail.
  • Assess and manage the current condition of electrical, air conditioning, plumbing and other essential facilities and equipment, ensuring regular maintenance and service schedules are followed. Liaise with procurement team to consolidate all annual maintenance contracts and maintain the expected quality from all suppliers and supporting procurement team for negotiation to arrange necessary goods and materials within the budget limit.
  • Managing canteen service company and ensure their services meet all Dubai Municipality guidelines and outstanding service level for our customers and take an immediate action against violation if occurred.
  • Assisting finance team to resolve/deal with suppliers for the payment and service-related issues.
  • Managing 3rd party service providers activities, utilities, and revenues.
  • Managing and ensure the landscaping contractors are maintaining our internal and external landscaping area is maintained an outstanding level.
  • Closely monitor the water, energy (DEWA) consumption and implementing saving practices always and motivating the support staffs to be a part of it.
  • Assisting clinic related arrangements and emergency supports as required

  • In conjunction with SLT’s, develop a system for security, waste, cleaning, repair, and maintenance of school facilities, both during term time and over school holidays for major operations.
  • In conjunction with all service providers, manage and advise, where appropriate, the allocation of work, and formulation of work schedules of ancillary employees and sub-contractor personnel to always ensure adequate coverage.

Person specification:

  • Proven experience in managing health and safety protocols and compliance.
  • Experience in facilities management, including maintenance of critical safety equipment and systems.
  • Experience in managing contractors and service providers.
  • Excellent organizational and multitasking abilities.
  • Strong communication and interpersonal skills.
  • Ability to audit and validate service levels and documentation.
  • Proficiency in managing security operations and systems (CCTV, access control).
  • Detail oriented, proactive and able to take initiatives.
