Qatar Foundation Pre-University Education division (PUE) is seeking applications for our HR Operations Officer to join our collaborative and vibrant HR team.
Qatar Foundation PUE division comprises of group of IB schools, special needs schools, higher education prep schools, and specialty centers. Its a dynamic and exciting place to work where you will have an opportunity to work with world class leaders in education.
The position would appeal to a candidates who had training and qualifications in Human Resources with focus on recruitment, on-boarding, and employee relations.
High level responsibilities of positions include:
- Serve as the focal point for PUE HR Operations and school staff for HR-related matters and services; respond to staff inquiries, provide any needed clarifications, and advocate for staff needs.
- Support the recruitment process and coordinate to facilitate the on-boarding of new employees and completion of ad ministrative processes including document authentication, visas, residence permits, housing, medical examinations, police clearances, driving licenses, Staff IDs, health insurance, vehicle purchase assistance, parking tags, etc.
- Maintain employee records and provide staff data reports to management and the Ministry of Education and Higher Education (MHEH).
- Monitor and record staff attendance to encourage proper attendance; inform supervisors if any disciplinary action is required.
- Review and submit the payroll, including pay adjustments, to ensure that payroll figures are accurate and that payments are processed in a timely manner.
- Coordinate with the QF Travel team to arrange travel for staff and others, as requested.
- Ensure that all end-of-service formalities for employees leaving QF are completed.
- Develop and implement HR Operations strategies to attract qualified candidates and ensure customer satisfaction.
- Create and record new candidate files and prepare documentation for new joiners as required, including visa applications, CID & medical letters, transfers of sponsorship, etc.
- Coordinate on-boarding logistics for new joiners, including tickets, housing, and transportation arrangements.
- Welcome new joiners on their first day, familiarize them with Qatar Foundation, provide materials to orient them to QF and Qatar, and help them complete required documentation.
- Communicate effectively and assertively with all levels of employees/ candidates with positive impact.
- Support in the development/update of PUE HR policies. Ensure effective implementation of all employees/ candidate practices that are legally compliant.
- Assist in dealing with complex cases such as disciplinary, grievances and appeals, including disputes. Ensuring engagement is maintained and Managers act in a way that involves staff.
- Coordinate internal PUE-wide awareness and induction sessions that has impact to employees conducts.
- Collect and use feedback to evaluate PUE HR Policy and improve on identified areas of weakness, report on the results to management.
- Support PUE HR team on concerns related to HR Operations services and related logistics. Keep employee records updated and intact.
- Make sound decisions when faced with multifaceted problems related to HR matters concerning employees or candidates.
- Ensure compliance with QF values statements, effectively communicate the organizations, cultures values and mission to create the most ethical work environment.
- To be effective in insuring classifying records, filing and retrieving HR files. Ensures that electronic records are probably secured, and back-up protected.
The successful candidate for this position will be willing to be part of a collaborative team who values kindness, builds strong relationships and demonstrates respect and integrity.
Successful candidate would also be a part of PUE Human Resources team providing HR support and collaborating in overall HR functions such as workforce planning, Talent Management, and Total Rewards.
Qualifications & Experience:
Bachelor's degree in Human Resource management, Business Administration, or relevant subject matter.
2+ years of relevant full time work experience
Experience providing HR support in international school is plus.
Must be proficient in Microsoft Office applications.
Working knowledge of Oracle Fusion HR module is plus.
Clear criminal record and background check.
