This is a full time role with  20 days annual leave (plus Christmas closing and bank holidays). The annual leave allowance can be negotiable.

The hours are 8am to 5pm, Monday to Fridays, with reduced hours outside of term time (at the discretion of the Head).

MAIN DUTIES AND RESPONSIBILITIES (Full Job Description attached below)

HR Assistant (starting from January 2022 or soon after)  

  • Day-to-day management of the HR function for Devonshire House School.  
  • Full responsibility for recruitment process for teaching, support and administrative staff, including advertising, shortlisting and interviews, references and appropriate pre-employment checks, editing contracts, carrying out Disclosures and Barring Service (criminal records) checks, international police checks, Prohibition from Teaching checks, qualification verification, and associated tasks. Safer Recruitment training provided.  
  • Insuring school is compliant with employment law and up to date with Inspectorate requirements, including responsibility for the Single Central Register of Appointments.  
  • Management of Admin team; coordinating annual leave, keeping record of planned absences and illnesses, allocation of ad hoc jobs and special events.   
  • Responsibility for maintaining agency supply and visitor logs and providing safeguarding and fire safety inductions where required.  
  • Act as primary caseworker for the visa sponsorship process, including Tier 2 and the new Points-based Immigration Scheme for EU citizens.   
  • Coordination of absence management with deputy heads for the teaching and support staff and maintaining absence records.  
  • Coordination of employee occupational health requirements; coordinating with the company doctor, organising flu vaccines and Covid testing.  
  • Management of Return-To-Work assessments and pregnancy risk assessments, communication with appropriate medical contacts during employee extended sickness absence.  
  • Supporting the Head with disciplinary and grievance procedures, with responsibility for investigation process and managing the outcomes.  
  • Managing the new employee Induction process and coordinating the new staff inset days and training.  
  • Maintaining staff records, including the accurate filing of documents, including highly sensitive and confidential information.   
  • Drafting references and standard staff letters (visa/tenancy) as required, including confidential reports on teacher performance.   
  • Maintaining and updating the Contractors’ registers, as required, including catering, and cleaning staff documentation.  
  • Coordination of Admin meetings, including agendas and taking minutes.  
  • Coordination of dispersal, retrieval and filing of extraneous staff documentation, including; Gift Declarations, KCSIE, and other self-declaration paperwork
