King’s Leadership Academy Bolton is seeking to appoint an organised and enthusiastic Office Manager. We are looking for someone who is an excellent team player and won’t shy away from going above and beyond. King’s Leadership Academy Bolton is located close to the centre of Bolton with good access to both the M6 and M62. In January 2024 our staff and students moved into a new state of the art building. Class sizes at the school are below average and every student has access to a personal computer tablet. Innovation is one of our strengths, which supports our modern approach to education alongside our commitment to the highest expectations. Job Purpose

The Office Manager will oversee the smooth and efficient running of the school’s administrative functions, ensuring that all office operations are managed effectively and that all administrative staff are supported. They will provide a high level of support to senior leadership, including the Principal Administrator, manage communication, and ensure compliance with trust and school policies. This role is pivotal in ensuring the office functions meet the needs of staff, students, and the wider school community.

Key Responsibilities

• Office Management

• Manage the day-to-day operations of the school office, ensuring all administrative tasks are completed in a timely and efficient manner.

• Line manage and supervise the administrative team, providing guidance, training, and support as needed.

• Oversee the maintenance of accurate records, databases, and filing systems in line with data protection regulations.

• Ensure a welcoming and professional reception service, ensuring visitors and inquiries are handled appropriately. Admissions and Appeals

• Manage the school’s admissions process, including processing applications, maintaining accurate records, and communicating with prospective parents and students.

• Coordinate the school’s appeals process, ensuring compliance with statutory guidance and timelines, and providing administrative support to appeal panels. Administrative Support

• Provide administrative support to the Senior Leadership Team (SLT) including diary management, preparation of reports, and coordination of meetings.

• Ensure that all correspondence, communication, and information distribution are carried out efficiently within the school and across the Trust.

• Manage and process orders, supplies, and invoices in collaboration with the finance team.

First Aid and Medical Room Support

• Undertake first aid training and support the Deputy Designated Safeguarding Lead (DDSL) with the management of the medical room.

• Administer first aid to students as required and ensure the medical room is wellstocked and compliant with health and safety regulations. Human Resources and Compliance

• Oversee administrative processes for HR tasks such as absence management, recruitment, and staff records.

• Ensure compliance with school and Trust policies, particularly safeguarding, health and safety, and GDPR.

• Assist with the preparation and coordination of key school events, such as open days, parent’s evenings, and exams. Communication and Liaison

• Act as the first point of contact between the school and parents, external agencies, and the wider community.

• Collaborate with other schools within the Multi Academy Trust to share best practices and ensure consistent administrative standards.

Strategic Contribution

• Contribute to the development and implementation of school improvement strategies from an operational perspective.

• Support the school’s leadership in planning and monitoring budgets, resources, and staffing.

The post holder is expected to carry out such other duties as may reasonably be assigned by the Principal Administrator. Safeguarding Children and Young People Great Schools Trust is committed to safeguarding and promoting the welfare of children and young people. We expect all staff to share this commitment and to undergo appropriate checks, including an enhanced DBS check.

Other Responsibilities

Contribute to the wider life of the Trust, its schools and its community through out of hours and partnership work. To carry out any such duties as may be reasonably required by the Principal or Chief Executive.
