St Anne’s RC Voluntary Academy joined the Emmaus Catholic Academy Trust in 2021 and this is a fantastic opportunity for a PA to Executive Headteacher / Head of School. Role Overview:

The Personal Assistant (PA) to the Executive Headteacher/Head of School ensures the smooth operation of key administrative functions. The successful candidate will provide comprehensive administrative and secretarial support, enabling the Executive Headteacher/Head of School to focus on strategic leadership and overall management of the school.

Key Responsibilities:

Administrative Support:

  • Manage the Executive Headteacher/Head of School’s diary, scheduling appointments and meetings.
  • Coordinate and prepare agendas, minutes, and follow-up actions for meetings.
  • Handle correspondence, including emails, phone calls, and letters, ensuring timely responses and appropriate action.
  • Maintain and organise confidential files and records.
  • Provide advanced secretarial services, including dictation, minute-taking, typing notes, proofreading, and filing.

Communication and Coordination:

  • Act as the first point of contact for the Executive Headteacher/Head of School, handling inquiries with professionalism and discretion.
  • Liaise with internal and external stakeholders, including staff, parents, governors, and external agencies.
  • Receive and welcome visitors professionally, providing refreshments as required.
  • Support with the planning and organisation of events, including logistics, catering, and materials.
  • Assist with the preparation and dissemination of communication materials and presentations.
  • Provide administrative support for Parents’ Evenings, Open Days, and other school events.


Additional Duties:

  • Perform additional duties as requested by the Executive Headteacher/Head of School, demonstrating flexibility and a willingness to adapt to the needs of the Trust.
  • Support training school by managing lesson observations and updating records.
  • Provide administrative support related to evaluations and reviews.


Person Specification:

  • Educated to degree level, or substantial experience in an administrative role within an educational setting.
  • Excellent organisational and time-management skills, with the ability to prioritize tasks and meet deadlines.
  • Strong written and verbal communication skills, with attention to detail and excellent proofreading abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Ability to handle sensitive and confidential information with discretion.
  • Strong interpersonal skills, with the ability to build effective relationships with a diverse range of stakeholders.
  • A proactive and flexible approach to work, with the ability to adapt to changing priorities and demands.
