INTRODUCTION
1.1 You are accountable to the Governing Body through the line management structure shown in the Staff Handbook.
1.2 You are required to maintain and develop the Catholic character of the School in accordance with the direction given by the Governors and expressed in the Mission Statement. You are required to support the Headteacher in implementing the Mission Statement and in maintaining the distinctive Catholic nature of the School.
The role of An SEN Administrative Assistant at the saint John Henry Newman School
2.1 We are looking for a committed and enthusiastic Administrative Assistant, with a flexible approach to work and a personable and compassionate attitude to support our SEN department on a fixed term basis. You will provide support to the Assistant Headteacher SENCO and the Assistant SENCO.
2.2 The SEN Administrative Assistant is accountable to the SEN Assistant Headteacher SENCO and undertakes particular duties as they may reasonably direct from time to time.
2.3 The SEN Administrative Assistant is responsible for supporting the SEN Department with all administrative tasks and for ensuring accurate and up to date record-keeping.
3. Key Areas of Responsibility
3.1 EHCP Reviews
- Coordinate the annual review process for all students with an EHCP (Educational Health Care Plan)
- Secure input from teachers and relevant professionals and complete all necessary preparation before the review meeting
- Make all arrangements for the review meeting, including scheduling and booking rooms
- Attend the meeting and take minutes
- Complete all necessary administrative tasks following the EHCP review meeting
3.2 Access Arrangements
- Coordinate and deliver all administrative responsibilities in relation to exam access arrangements for students with SEND.
- Liaising with parents, arranging and collating the results from assessments.
- Liaising with JCQ (Joint Council for Qualifications)
- Managing the examination timetable and ensuring that the appropriate access arrangements are in place.
3.3 General Administration
- Communication with parents, pupils and teachers – via telephone, email and in person.
- Liaising with teaching staff, disseminating and collating student information
- Working with the Director of Lower School and the Learning Coordinator for Year 7 regarding new intake students, collating SEN information and arranging visits to primary schools as required.
- Liaising with external agencies and organising referrals
- Monitoring the Assistant Headteacher SENCO email account and actioning as appropriate.
- Managing the diary of the Assistant Headteacher SENCO.
- Ensure accurate record-keeping through the effective use of school management information systems and administration platforms in accordance with GDPR and school policies.
- Accurate, timely and efficient filing of student records.
- Ordering supplies for the SEN department in accordance with financial procedures.
3.4 Other duties
- Supporting students on a daily basis within the SEN department as required, covering for other members of staff where necessary.
- To complete two 30-minute lunch duty slots per week (this is standard for all support staff)

The Saint John Henry Newman School is a popular 11-18 mixed Catholic comprehensive school in Stevenage, and is a member of the Diocese of Westminster Academy Trust. - 56% A Level at A*, A and B.
- At A-level the pass rate for the last three years has been over 99%.
