Job Purpose

The Senior Admissions and Data Specialist is a key senior member of the International Admissions Centre (IAC) team, responsible for providing excellent data analysis, reporting, customer service, administrative support, and agent management. This role focuses on ensuring accurate and timely commission payments through close liaison with central finance, weekly reporting using SIMS and advanced excel functions, and accurate entry of admissions data.

Key responsibilities

Data Analysis and Reporting

·       Accurate data collection and analysis of student fees to generate agency commissions statements and calculate payments.

·       Produce journal entries relating to commission costs.

·       Liaise with the college Finance and Sales teams to verify commission figures.

·       Provide timely response to all agents and sales enquiries on agent payment.

·       Deliver clear and accurate analysis of student data to support the Global Sales Team.

·       Produce weekly sales reports, using excel and college databases (SIMS).

·       Maintain accurate records, ensuring data integrity in relevant systems and UKVI compliance.

·       Manage the agency database and onboarding contract process.

 Admissions

·       Support and collaborate with teams to ensure the provision of an effective and efficient admissions service for Abbey DLD Group of Colleges.

·       Maintain and manage accurate agent data in databases (CRM and SIMS).

·       Conduct checks on applications for various Abbey DLD course offerings (e.g., minimum age and entry requirements, immigration checks).

·       Address internal and external queries concerning the progress and status of applications in a timely manner.

·       Provide a quality, customer-focused service, offering initial support and guidance on admissions policies and procedures to prospective students and agents.

·       Contribute to the execution of agreed service levels, including turnaround times, and chase outstanding decisions as required.

·       Undertake other duties as determined by the Head of International Admissions.

Skills and attributes

·       Excellent analytical and problem-solving skills with motivation to find end-to-end solutions.

·       Advanced proficiency in Excel, including the use of complex formulas (VLOOKUP, INDEX- MATCH, array formulas), logical functions (IF, AND, OR, nested IFs), and statistical functions (AVERAGEIF, SUMIF, COUNTIF).

·       Ability to create and interpret PivotTables and Pivot Charts, use conditional formatting.

·       Proficiency in data cleaning techniques, error checking, troubleshooting and formula tracing.

·       Ability to work independently and as a collaborative team player.

·       Strong cross-cultural interpersonal skills, with professional and friendly in-person and phone presence.

·       Good organizational and time management skills; adept at scheduling and prioritizing multiple projects and tasks with varying deadlines.

·       Excellent customer service ethos to deliver effective services to internal and external stakeholders at all levels, managing information confidentially and sensitively.

·       Adaptability to manage change and respond positively to new challenges.

Checks and Training

• Enhanced DBS checks to ascertain successful candidates suitability to work with children will be carried out. This post is exempt from the Rehabilitation of Offenders Act 1974, and therefore all convictions, cautions and bindovers, including those regarded as ‘spent’ must be declared.

• Online searches will be carried out on candidates for any unsuitable content by or about candidates.

• Two written & verbal references from previous employers and a personal reference will be sought.
