ACS International Schools is currently seeking a Transport Coordinator to join our Egham Campus. This roll will oversee the transport requirements for the school to deliver a safe and efficient service to students and staff and to comply with the requirements of the Vehicle Construction and Use Regulations. It will also assist new teachers with housing requirements.

Principal Accountabilities: 

Transport: 

  • Manage and supervise the arrival, parking, and departure of all buses daily, investigating all late arrivals, ensuring that students receive a safe and efficient transport service.
  • Liaise with Local Authorities and Ministry of Transport on operational matters, contractor compliance and monitor traffic and weather forecasts, advising the Head of School as necessary, to ensure the safety of all transport arrangements.
  • Manage and implement daily door to door pick-up point bussing from approved locations, liaising with the Admissions team on all student bussing requirements, to ensure that bussing routes are logistically efficient and service standards are monitored.
  • Management of the company vehicle fleet, allocated to Egham, including responsibility for booking, approved drivers, repairs, servicing, MOTs, and road taxation to keep vehicles on the road and safe.
  • Ensure that you follow the ACS Procurement Policy and maintain financial rigour when completing all tasks.
  • Liaise with all internal and external customers, arranging School Bus Transfers for students wishing to travel on different buses and dealing with any complaints quickly and efficiently, to maintain good customer relations.
  • Liaise with the Finance Department to create Income and Expenditure budgets each year.
  • Manage the Budget when creating the academic years routes and allocating the students to those routes.
  • Negotiate with Bussing Contractors on any queries or costs.
  • Manage the passenger(s) data input into Power School specifically at the start of the Academic year.
  • Monitor all aspects of CCTV Cameras installed on buses and Together Schools Application.
  • Liaise with the School Fees team to investigate and correct any billing anomalies.
  • Manage all Purchase Orders for bussing routes including late buses at the commencement of the academic year.
  • Monitor the Year to Date (YTD) expenditure against budget on a route by route basis and investigate any anomalies.
  • Manage all Bus Contracts and Service Level Agreements (SLA) and ensure they are agreed and signed prior to the start of the Academic year. This will include Staff Shuttle Agreements.
  • Plus any other ad hoc duties (full JD available on request)

Housing:

Discuss housing and other requirements with new staff coming over to the UK and conduct an initial property search with local estate agents so that new staff are presented with a suitable shortlist of properties to consider. Maintain an overview of the local housing market to assist staff moving to the area in finding suitable accommodation and settling in.

Knowledge, Skills and Experience Required:

  • Good level of numeracy and literacy Proficient in Microsoft Word and Excel Strong interpersonal skills – good communications skills on the phone, face to face and on paper
  • Good attention to detail and highly organised Able to work with minimum supervision and to remain calm in stressful situations.
  • Flexible approach to performing a variety of tasks.
  • Team worker
  • Able to work under pressure and to deadlines and to settle problems in a calm manner.
  • Transport Coordinator experience preferred but not essential.

This role is Monday - Friday, 8am - 4pm.
