Job overview
The Admissions and Marketing Manager leads the Admissions and Marketing teams in the recruitment and admissions of students to UISG as well as the implementation of the marketing strategy and development of the school’s brands. The purpose of the role is to manage the enrollment of the school such to drive attraction, recruitment and retention of missions appropriate students at UISG.
Management Tasks:
- Leading, motivating, and managing the Admissions and Marketing staff members complete the requirements of their designated roles and job descriptions, and adherence to all UISG professional policies and procedures. Evaluate staff members on job performance as required by UEF policies and procedures.
- Represent UISG in a positive manner and provide focused and high-quality customer care at all times.
- Ensure that Admissions and Marketing staff adhere to UISG Mission and Values in all activities.
- Be a visible leader, who actively engages with UISG community members and external stakeholders and partners on campus and throughout Guangzhou.
- Participate in Marketing & Admissions Committee (MAC) and other committees as appropriate, and make contributions to school policy and procedure design, development and implementation, particularly in relation to enrollment management concerns.
- Liaise with Senior Leadership Team and Administrative Department Managers to support school development and advancement initiatives.
- Review and approve budgetary spending to support Admissions and Marketing operations within guidelines set by UEF.
- Provide or arrange professional development opportunities for Admissions and Marketing staff to support organizational and departmental goals.
- Participate in professional development as requested or required and maintain relationships with external professional organizations to support and develop industry best Admissions and Marketing practices at UISG
- Prepare a variety of standardized and ad hoc reports for School Leadership Team, UEF, and other stakeholders on enrollment data and marketing activities.
- Build positive relationships with members of UISG academic and administrative staff.
Admissions Tasks:
- Ensure all UISG Admissions Procedures and Policies are maintained and followed. Maintain and update UISG Admissions Procedures and Policies and present updates and/or proposals for policy changes to UEF for consideration.
- Review student applications and assessing applications in accordance with the school’s admissions policies, in consultation with the Senior Leadership Team. Approve offers of enrollment in accordance with admissions policies and capacity.
- Refining and improving the Admissions infrastructure, systems and processes to improve efficiency and meet enrollment management goals.
- Act as a primary contact point of contact and communication for prospective English-language expatriate families from enquiry through to enrollment as new students. Support prospective families in meeting all UISG application and enrollment requirements through the onboarding process.
- Manage daily enrollment and re-enrollment practices. Ensure frequent and accurate enrollment and re-enrollment reports are made available to Senior Leadership Team and other Administrative departments as needed.
- Generate enrollment projection reports as requested by UEF and Senior Leadership Team to support school budgetary planning.
- Management of OpenApply Admissions software ensuring completion, fidelity, and maintenance of all prospective and current UISG enrollment related student data.
- Act as primary contact point with Utahloy Parent Teacher Association. Coordinate and attend monthly UPTA-SLT meetings between UPTA executive members and UISG Senior Leadership Team members. Coordinate and attend UPTA All Parents Meetings four times annually and support the creation of informational and promotional content to be delivered at these meetings to UISG parents.
- Support Finance Office in the communication, collection, and documentation of school fee payment as necessary.
- Assist in the management of the shared UISG Admissions Email inbox.
- Other activities and projects as assigned by the UEF or Head of School.
Marketing Tasks:
- Coordinate with Marketing & Admissions Committee on the creation and execution of annual Marketing Plan.
- Support in the creation, updating, and maintenance of marketing and promotional materials for UISG programs, events, and activities.
- Support in the creation and collection of promotional and informational content for UISG Social Media, advertisements, website, and other promotional channels.
- Liaise with priority companies, marketing partners, and stakeholders in the Guangzhou community and others as necessary.
- Review potential new advertising and marketing opportunities for UISG. Regularly review recurring advertising and marketing contracts for renewal purposes and suggest best course of action to UEF.
- Regularly review competitive market and provide reports, insights, and suggestions to UEF on opportunities for improvement of school programs.
- Monitor condition of school facilities and liaise with Administrative Manager, Facilities Department, and Senior Leadership Team to ensure that campus appearance consistently represents highest standards and expectations of UISG community and prospective families.
- Provide leadership in the planning, organization and implementation of informational and promotional workshops, New Family Orientation, UISG Open Day, IFOL, and other events annually.
- Support the UEF and Alumni Coordinator in the advancement of the Utahloy Alumni Association as requested.
- Other activities and projects as assigned by the UEF or Head of School.
Requirements:
- Fluent English written and oral communication skills
- Bachelor degree or above, majoring in marketing, education, or related field is preferred
- Excellent communication, organization, and conflict resolution skills
- Experience of working in a sales, admissions or customer service management role in a similar environment
- Familiarity or experience working in an international school environment with a stakeholders and customers representing a wide range of cultural backgrounds and experiences
- Knowledge and understanding of the IB Programmes, and international school market
- Experience with relational database management or specific enrollment management databases an asset
- Ability to lead and work cooperatively within a team structure
- Warm, friendly disposition and customer service dedication
- Always maintain professional dress and keep good relations with related parties
